In its everyday business operations, Despatch Cloud Collects and stores data of many types and in a variety of different forms. Keeping this data secure and giving you full control over it is our top priority at Despatch Cloud. Only those within your organisation, with the appropriate user level granted by you, are able to view your data. Despatch Cloud reserve the right to access your panel at any time for support or development. If you would like to access, amend or delete any information please modify this from your panel or contact our support team.

What Do We Mean By Information?

This notice will refer to ‘personal data’. This means any information that can be used to identify an individual or company that can be used to distinguish between individuals.

In accessing and using any Despatch Cloud product or Service as a customer or on a free trial basis or as part of a subscription account package, you are agreeing to the following privacy policy. Our website, product and services are not intended for children and we do not knowingly collect data relating to children.

What is GDPR?

The General Data Protection Regulation 2016 (GDPR) is one of the most significant pieces of legislation affecting the way that Despatch Cloud carries out its information processing activities. Significant fines are applicable if a breach is deemed to have occurred under the GDPR, which is designed to protect the personal data of citizens of the European Union. It is Despatch Cloud’s policy to ensure that our compliance with the GDPR and other relevant legislation is clear and demonstrable at all times.

Description of Service

The Service shall be provided to you as set out in the applicable Order Form. Any new features which are subsequently added to the Service during the Term shall also be, unless agreed otherwise in writing, subject to this Agreement. Despatch Cloud Ltd cannot guarantee that the Service will be continuously available as the Service may be unavailable from time to time due to either (a) scheduled downtime for Service upgrades and/or maintenance; and/or (b) any circumstances which are beyond Our control such as technical failures.

What Data is Passed to Despatch Cloud from Sales Channels?

When a sale happens on a channel such as Amazon or eBay, we download the buyer contact details from the connected API (which includes, name, address, contact information such as email and telephone numbers) the customers delivery and shipping address and the details of the order including and not limited to total price, tax, shipping fees, currency, country ISO and payment method. We do not ever handle credit or debit card information from these channels.

What Data Does Despatch Cloud Store?

Despatch Cloud does not collect or store any data that is not required for the requirements of the service. We do store sensitive data such as personal information about buyers. This data is stored in ISO27001-compliant data centres located inside the UK. We have a dedicated team who monitor and manage our infrastructure.

How Long Do We Keep Personal Data?

Despatch Cloud keeps personal data for as long as necessary to function. We also keep personal data for other legitimate business purposes, such as complying with legal obligations, resolving disputes, and enforcing our agreements. Because these needs can vary for different data types used for different purposes, retention times will also vary. Have you asked us to stop using your data or withdraw your consent? If needed, we will keep a record of your request so that we can make sure it is respected in the future. To withdraw your consent or have any questions please contact our support team.

Does Despatch Cloud Pass Customer Data to 3rd Parties?

We share delivery information with third parties such as couriers and accounting services for the purpose of processing subscriptions and processing an order through the system and obtaining shipping labels. We never share information for marketing purposes.

Breach of Data Policy and Your Right to Complain

In line with GDPR we have a duty to report a data breach to the regulator as soon as we are aware of it. The regulator in the U.K. where the head office of Despatch Cloud Ltd is based, is the Information Commissions Office. Your Rights

You retain at all times the right to access/amend/delete any personal data we hold about you or to exercise your right of data portability or to object to, or restrict, the purposes for which your Personal Data is processed on certain grounds. You may also lodge a complaint with the UK data protection regulator, the Information Commissioner should you be dissatisfied with the way that we handle your Personal Data. You undertake to notify your Users of this privacy policy and of their rights under the Data Protection Law. We will provide you with reasonable assistance to enable you to comply and respond to a request, query or complaint from a User in relation to their Personal Data.
